Set templates can be found at the menu under 'settings' --> set Templates
Creating a set template
An overview with existing templates (when available) will be shown.
To add a new template click the button [create new].
A screen will be shown in which defaults for a new set can be stored. These templates can be selected when creating a new set: all fields which have been used in the template will be taken over to the 'general set information' of a new set.
After applying a set template to a new set, all fields can be changed and updated afterwards.
Set Template fields
1. General information
Template name: This is a free text fields which can be used to identify the specific template. This name will be show in the selection drop-down box when creating a new set
Carrier: For carriers this field is pre-populated and can not be changed. GSA's are able to insert any carrier-code as long as they are entitled to represent the carrier. Forwarders are free to insert this field with any carrier code. For GSA's and forwarders this field is not mandatory.
Market: this field is pre-populated when it is allowed to publish in one market only. When this field is empty, it can be filled with a market code which the account is entitled to publish in.
Origin: this field can be used to insert a default origin (3-letter code) It is also possible to insert multiple origins by comma-separating them, i.e. FRA,HAM,MUC
Tariff type: pressing the triangle will show a selection of tariff types which can be used. Select one.
2. Set template
This information is taken over to the general set information of a new set which is based on the template. None of the fields are mandatory.
- Remarks: All information stored in this box will be shown in the remarks field at the general set information.
- Notes: All information stored in the box will be shown in the notes field at the general set information
- Terms and conditions URL: the URL inserted here will link to the conditions placed on a website. It will be shown at the general set information of a tariff set.
3. Email template
After publishing a tariff set it is possible to send this tariff set by email to specified recipients; a document (PDF, XLS, CSV format) can be attached and/or a hyperlink to the tariff set can be inserted. All these fields are optional and only have to be inserted when the tariff sets based on the created template will have to be e-mailed.
- Email subject: Default subject
- Type of document: Clicking the triangle will show a list of options: PDF, Excel or CSV. Select one.
- Output template: Clicking the triangle will show a list of selectable output templates. If no specific lay-out has been created, the default output template will be the only selectable. In an output template, specific layout is stored, such as a company logo and address details (header and footer) as well as the various tariff columns.
- AFRA Hyperlink: Selecting the checkbox at 'AFRA Hyperlink' will place a link to the tariff-set in the e-mail.
- Body: A default message can be created here
- E-approval: A default E-approval note can be inserted here.
4. Default expiration notification
After publishing a tariff set it is possible to set-up an automated expiry-notification for that set. An email will be send according to the settings in this field.
A selection can be made between:
- No notification. Nothing will happen when the set expires
- Notify me when the set expires: when this selection has been made, an e-mail will be send when the set expires. A pre-notification can be send as well. To enable this feature, insert the number of days in the field 'send pre-notification'.
- Notify me on set anniversary: the day the set expires, an email will be send out.
Note: when creating a tariff set with expiry-date U.F.N (Until Further Notice), an extra field will be shown to send an notification e-mail once a tariff set is 6 or 12 months old. This can not be set up in the set-template.
When all fields are completed, click [Save]
